Position Details:

Big Medium is seeking a Development Coordinator to support all aspects of Big Medium’s donor stewardship and fundraising activities. The Development Coordinator will work directly with the Director of Development and serve a critical role in our small, energetic, collaborative team.



  • Oversee Big Medium’s membership program and fulfillment of membership benefits
  • Assist Director of Development with donor cultivation, stewardship, and renewal in order to meet ambitious 2018 membership goals
  • Create and implement member events to engage supporters year-round
  • Execute all membership mailings including renewals, acquisitions, thank yous, and acknowledgement letters for all tax-deductible donations
  • Assist Director of Development with annual appeals, Amplify Austin, Giving Tuesday, and fundraising campaigns throughout the year
  • Stay up to date on fundraising trends and provide innovative direction for the future of the membership program



  • Lead organizational database management including input of all donations, grants, program participation fees, event ticket purchases, etc.
  • Research, collect, and input contacts including members, donors, artists, volunteers, cultural colleagues, corporate sponsors, foundations, and prospects
  • Track gallery, program, and event attendance year-round
  • Create fundraising, donation, and analytical reports as needed



  • Assist Director of Development with grant writing, budgets, and reports as needed
  • Maintain spreadsheet of past, pending, current, and prospective grants
  • Track grant spending, allocations, and deadlines
  • Research prospective grantors and foundations


Events and Rentals

  • Work closely with the Director of Development to plan and produce all aspects of fundraising and donor engagement events
  • Manage event budget, checklists, run of show, event venue, and vendors
  • Work with volunteers to engage donors at events, exhibition openings, and programs
  • Oversee all corporate and community rentals of Big Medium Gallery and Canopy, and actively seek rentals to meet 2018 rentals revenue goal
  • Assist Director of Development with all aspects of corporate sponsor engagement: meetings, benefit fulfillment, activations, invitations, thank yous, reports, etc.
  • Oversee the Big Medium Pit Stop and Advertising program for EAST and WEST including solicitation, tracking, content, and payments
  • Create content for sponsorship decks, media kits, and event related marketing materials
  • Secure, manage, and track all in-kind donations for regular programming and events
  • Track and manage Big Medium inventory and event supplies
  • Manage insurance policies and files, attain event insurance for special events
  • Set up trash services, security and parking services for events


Administrative Duties

  • Perform a variety of administrative support functions including answering the phone, attending the gallery desk, checking mail and distributing, ordering office supplies
  • Act as a liaison between Canopy artists and building management group
  • Assist Executive Director with financial functions such as maintenance of donation records, preparing deposits, creating invoices, and managing merchant systems



  • Build relationships and provide exceptional stewardship with artists, donors, sponsors, community organizations, cultural colleagues, and schools to deepen and expand Big Medium’s community outreach
  • Represent Big Medium at various community events in order to engage new members and supporters, and speak to Big Mediums mission and programs
  • Attend applicable workshops and events to seek new opportunities and build meaningful relationships with local stakeholder community



  • Experience in membership, annual giving, database management, and events
  • Proficient in Excel, Word, Google Docs, and mail merges
  • Excellent writing and verbal communication skills
  • Professional demeanor and outstanding interpersonal skills to work effectively with a wide variety of people and communicate with organizational stakeholders
  • Attentive to detail
  • Proactive problem solver
  • Excellent time management and organization
  • Knowledge of and interest in fundraising, arts administration, and visual arts
  • Knowledge of Little Green Lights and Quickbooks a plus
  • Ability to work evenings, weekends, and events as needed


The position is full time. The salary is commensurate with experience and includes paid time off, paid holidays, and an IRA plan with employer match.
